The registration to the conference is solely possible online via the online registration platform on this website. Please kindly note that everyone who wants to attend the conference, the exhibition or single sessions must register. The online registration is possible until Wednesday, March 15, 2017 12:00:00 CET. Afterwards, the registration to the conference is only possible on-site and will imply an additional on-site charge of CHF 50.00.

Kindly note:

  • Speakers are kindly asked to provide the SoftID/PaperID of their accepted paper when registering online. Each accepted paper requires at least one different full conference registration at the speaker rate (i.e., two speaker registrations are needed for two accepted papers, e.g. from the main author or a co-author of the paper) by November 30, 2016!
  • IEEE/ACM members are kindly asked to provide their member number when registering online. 
  • Students are kindly asked to send a full proof of matriculation to the Conference Organization by email date at kitdresden [dot] de or fax: +49 351 4956 116, i.e. a scanned copy of the student ID card or a letter from a professor or head of department to confirm the student status at the time of the conference.
  • Press representatives can participate for free at the conference including access to all sessions, the exhibition and social events. A press identification card must be provided upon registration.
  • The visit of the exhibition is for free. Please choose the participant type “Exhibition Visitor”.

Payment methods

Payment can be made by credit card or by bank transfer.

Payment by credit card can be done during the online registration process. No credit card fee will be charged. You will get a confirmation of registration and payment afterwards via e-mail. For paying by bank transfer, you will receive an invoice including all payment details via e-mail. All bank charges have to be covered by the delegate.

The registration for the conference is only valid after receipt of the full registration fees. If you have not paid the fees within the mentioned deadlines, the higher fee will apply and you will receive a new invoice from the Conference Organization subsequently.

Hotel reservation

The Conference Organization has pre-reserved rooms in the two hotels, which are closest to the SwissTech Convention Center. Furthermore, rooms in other hotels can be booked through the service provider HRS online reservation platform. For detailed information, please visit the DATE homepage “Hotels”.

VISA Letter Application

A VISA letter can be requested during the online registration process. VISA Letters will only be sent to fully registered conference delegates (full payment of the registration fees is required), not to Exhibition Visitors.

General Terms and Conditions

Registration

The registration to the DATE conference is solely possible via the online registration form. Everyone who wants to attend must register online. With the receipt of the online registration, the contract between K.I.T. Group and the participant is legally binding. The Conference Organization K.I.T. Group is authorized to act on behalf of the conference organiser EDAA – registered association (EDAA vzw, c/o IMEC, Kapeldreef 75, BE-3001 Leuven, Belgium).

The participant will receive an official confirmation of registration/invoice from K.I.T. Group via email. All conference-related registration fees must be paid in due time according to the invoice. For applying for the early registration fee, payment in full must be made by February 15, 2017. Otherwise, the Event Secretariat will change the registration to the late registration fee and send a new invoice. If the late registration fee is not paid before 12:00:00 CET on March 15, 2017, an additional on-site fee of CHF 50.00 will apply. All conference-related registration fees must be fully paid prior to the conference.

Payment can be made by credit card or by bank transfer. Any bank charges have to be paid by the participant. If the conference fees have not been paid until the beginning of the conference, they need to be paid on-site in cash or by credit card. Cheques are not accepted.

Speaker Registration

Speakers of accepted papers will not receive any refund in case of cancellation due to the publication policy of accepted papers in the DATE proceedings (only those papers which are linked to at least one fully paid conference registration at the speaker rate and that have been presented by the author or any co-author in person on-site, will be published in the proceedings).

Cancellation of registration

In case of cancellation of the registration or cancellation of single bookings received by February 15, 2017, a cancellation fee of 50% of the registration fee applies. No refund will be given for cancellations made after February 15, 2017, and the claim for the full payment of all registration fees remains, respectively. In case of cancellations due to denied VISA applications, the full registration fee minus a processing fee of CHF 50.00 will be refunded after having received a proof of the rejection from the corresponding embassy via email, mail or fax. All registration changes and cancellations must be communicated to K.I.T. Group in written form, i.e. via email, mail or fax.

Cancellation of Tutorials and Workshops

If the number of registrations for one of the Monday Tutorials or Friday Workshops is below 20, the organizer reserves the right to cancel the tutorial / workshop. In this case, participants will be informed in due time and receive a full refund of paid fees.

Insurance

The registration fee does not include insurance of any kind. The organisers cannot accept any responsibility or liability for injuries or losses sustained as a result of any cancellations, accidents, illness or other occurrences that may arise in connection with the conference or its evening events. Participants are advised to organise appropriate travel and health insurance themselves.

Liability

K.I.T. only acts as mediator and is not liable for any losses of things, in accidents, destructions and damages of property and/or in the injury of persons, the reason does not matter. Participants and accompanying persons participate in all conference events on their own risk.

Place of Fulfilment

The court of jurisdiction is Leuven. The law of the Kingdom of Belgium applies. All dates and times mentioned in line with the DATE conference refer to Central European Time (CET).
